CRM and sales admin

CRM upkeep and sales admin by a virtual assistant

New contacts logged, deal stages updated, duplicates merged and follow-up lists ready, so salespeople spend their time talking to buyers.

The record keeping behind a sales pipeline

Every pipeline report depends on small entries. A call logged against the right contact. A deal moved when the buyer signed. A duplicate merged before two reps chase the same lead. None of it is hard, and all of it is easy to skip when the day fills up.

CRM admin support covers that layer. An assistant with delegated access keeps activity, stages and contact data current, sets up demos and prepares quote drafts for someone on your side to approve.

The assistant does not talk terms with buyers or decide on pricing exceptions. If a record raises a question, such as a deal marked won with no signed quote attached, it goes to the deal owner as a flag.

A typical week of CRM work

The work is usually a set of recurring tasks plus a queue for one-off requests. A normal week might include:

  • Logging calls, meetings and emails against the right contact and deal
  • Moving deals between stages based on notes from your reps
  • Merging duplicate contacts and companies, with a log of what changed
  • Importing a list your business owns after checking columns and consent fields
  • Booking demos and sending calendar invites
  • Drafting quotes from your price book and holding them for approval
  • Flagging deals with no activity for longer than you allow

A short written summary at the end of the week covers what was done and what needs a decision from you.

Before you grant CRM access

Adding an outside assistant to your CRM is routine, and a few checks make it safer. Use a seat in the assistant's name rather than a shared login, so every change shows who made it. Limit permissions too. Most admin work does not need rights to delete records in bulk, export the whole database or change billing on the CRM account.

Turn on two-step sign in for the seat if your CRM supports it, and keep the credentials in a password manager. Agree up front how access will be removed when the engagement ends. For general small business account security, CISA publishes plain advice.

Questions about crm and sales admin

Can you import a purchased or scraped list?

The work is limited to lists your business owns or has a clear right to use, such as event signups, past customers or your own form leads. Where a list came from and what consent it carries should be recorded at import. Questions about bought lists or outreach rules belong with your own counsel, and the FTC publishes business guidance on email marketing.

Who approves the quotes the assistant prepares?

Someone you name, usually the owner or a sales manager. The assistant builds the draft from your price book or template and routes it for approval. It reaches the buyer only after approval, and the assistant never changes pricing or terms on its own.

What does the assistant need permission to change?

Usually contacts, companies, deals, activities and tasks in the pipelines in scope. Most admin work does not need rights to bulk delete, export the full database, edit user permissions or touch billing. Start narrow and add rights when a task calls for them.
